# Send welcome emails

> Email each attendee their check-in QR code before the event. Turn it on in the event's Settings, preview the email, and see who gets one.

A welcome email gives each attendee their check-in QR code before the event, so they arrive with it on their phone and staff scan it at the door. Welcome emails are off for every event until you turn them on. TalkValue sends them during the 24 hours before the event starts.

> [!NOTE]
>
> **Before you start**
>
> * An event in Badge, imported from a provider or created in TalkValue. See [Add an event](/badge/events/create).
> * Staff who check in attendees by scanning. The emailed QR is the code they scan; see [QR scan check-in](/badge/staff-stations/qr-scan-checkin).

## Turn on welcome emails

**1. Open the event's Settings**

Open the event and click **Settings** in the event's side panel. The **Welcome email** section holds the switch, the send schedule, and a preview.

**2. Preview the email**

Click **Preview email**. The dialog shows the **From** name, the **Reply-To** address, the **Subject**, and the email as attendees see it, with a sample attendee standing in for the name and QR code.

**3. Turn on Send welcome emails**

Switch on **Send welcome emails**. The **Schedule** row changes to **Scheduled** and shows when sending starts: 24 hours before the event's start, in the event's time zone.

If the event starts within the next 24 hours, a **Send welcome emails now?** dialog asks you to confirm first. Attendees who haven't checked in start getting their QR code within minutes, and sent emails can't be recalled. Click **Send now**.

To stop sending, switch **Send welcome emails** off.

## When emails go out

Sending runs from 24 hours before the event starts until it starts. While it runs, attendees added later get theirs too, whether they register on the provider or arrive in a [CSV upload](/badge/events/upload-csv). Each attendee gets one welcome email, even if you turn the switch off and on again.

An event you created in TalkValue starts at 12:00 AM on its first day in the event's time zone, so its welcome emails go out during the day before.

The **Schedule** row shows where the event stands:

| Status | What it means |
| - | - |
| **Off** | Welcome emails are off. The row says when sending starts if you turn them on. |
| **Scheduled** | Welcome emails are on, and the row shows the date and time sending starts. |
| **Sending** | The event starts within 24 hours and emails are going out. |
| **Closed** | The event has started, so the switch is disabled. Welcome emails only go out before the start. |

## Who gets a welcome email

An attendee gets one when all of these are true:

* Their registration is attending. A registration marked not attending gets none.
* They have an email address and a barcode. A CSV upload generates a barcode for every attendee when you leave **Barcode** unmapped.
* They haven't checked in yet.

## What attendees receive

* **From.** The event name followed by `via TalkValue`, for example `Northwind Summit 2026 via TalkValue`.
* **Reply-To.** The email of the teammate who added the event. If they've left the workspace, replies go to its longest-standing member instead.
* **Subject.** `Your QR code for <event name>`.
* **Body.** The event's dates and times with the time zone, the event name, a greeting with the attendee's first name, and a request to show the QR code at registration. Under the QR code sits the code itself, for the attendee to read out to staff if the image doesn't load. The footer names your workspace: `Sent by TalkValue on behalf of <workspace name>`.

The QR code encodes the attendee's barcode, the same value staff check-in and booth [lead capture](/badge/events/lead-capture) read, so staff scan it from the attendee's phone the way they scan a badge.

## After a CSV upload

A CSV upload emails nobody on its own. When an import finishes, the import page shows **Welcome emails are off** with **Turn on** and **Open settings**, or **Welcome emails are on** with the send schedule. Neither appears once the event has started or when the import failed.

## Troubleshooting

### An attendee didn't get the email

Check that they hadn't checked in yet, that their registration is attending, and that it has an email address and a barcode. Then ask them to search their inbox and spam folder for a message from `<event name> via TalkValue`. At the door, staff can find them by name with [manual search](/badge/staff-stations/manual-search-checkin).

### The switch is grayed out

The event has started, and the **Schedule** row reads **Closed**. Welcome emails only go out before the start.

### "Could not load the preview"

The preview didn't reach your browser. Check your connection and click **Retry**.
